PTO Meeting Minutes, November 10, 2009
6:00pm Library

 Tracy Littles called the meeting into order at 6:00 pm.

 Minutes from the October PTO Meeting were read by Sarah Bricker.

The Treasurer’s Report was given by Nikki Kampe.

Books for Teachers

$250.00 was set aside for the October Book Fair.  It is used to buy each Teacher at Willard South a book for their classroom.  It was decided not to purchase books at the October Book Fair, but to wait on this and to discuss it further on our agenda in April. 

Fall Fundraiser

Fundraiser items are needed to be picked up on November 19th from 4:00 – 7:00pm.  Flyers were sent out to remind parents.

3rd Grade Concert

The 3rd Grade Concert will be held on November 12th from 7:00 – 7:30pm.  Yvonne Galloway and Kara Crighton-Smith volunteered to serve refreshments that night.  The only item left to purchase is drinks.  Yvonne Galloway volunteered to pick Kool-Aid up for the event. 

Santa Store

The Santa Store will be held on December 15th and 17th from 9:00am – 3:30pm.  Each year PTO buys items from the Dollar Store at wholesale cost.  The items are then put up for sale to the WS Students for $1.00.  This is done so students are able to buy gifts for their family members for the Holidays.  Items for sale that need to be restocked will be done on December 16th.  3 volunteers will be needed at all times throughout the day.  Anita Yates has ordered in previous years.

Spring Carnival

Date/time will be set at a closer time.  Concession style food will be served, carnival-style games will be offered for play, and a live auction will be conducted.  Some items that will be up for auction are a homemade quilt that was donated to the PTO and various Theme Baskets put together by teachers and staff from donated items yet to be obtained.  Tracy Littles suggested we begin asking people to help volunteer by asking area businesses for donations for the Theme Baskets.

  • ·Principle’s Remarks:

Dinner was bought by the school both October 27th and 29th for the Parent/Teacher Conferences.  PTO reimbursed the school $200.00 for one of those nights.  Meals served were a potato bar by Kara Crighton-Smith on one night and Ott’s Pasta Carry Out the other.  Dessert was donated by members of the PTO. 

 With no other business to be discussed the meeting was adjourned at 6:37pm.

PTO Meeting Minutes, October 13, 2009
6:00pm Library

Michelle Malachowski called the meeting into order at 6:00 pm.  Yvonne Galloway was asked to lead the meeting in the absence of president, Tracy Littles.

 Items passed out:

  • Thank you cards to be signed by PTO Officers to send to the area businesses that donated items for the Chili Supper.

Games

Silent Auction

  • Book Fair

 Chilli Supper

Games

4 Parent/Child games were decided on.  The games will be offered the last half of the evening with a $5.00 entry fee per team.  The winner of each game will receive a Branson gift package.

 Whipped Cream Pie Eating Relay- Each child will stand behind their parent feeding them a whipped cream pie with a giant spoon.  The team that eats the most within a certain amount of time wins.

Spaghetti Pool Hunt- Each team will search for various items hidden in a kiddie pool full of spaghetti.  Each item will have a designated value.  The team with most points wins.

Jell-O Hat Colander Relay- Each parent will hold a colander on their head.  The child will fill the colander with Jell-O.  The team that fills the colander the fullest within a certain amount of time wins.

People Scavenger Hunt- Each team will be given a sheet of paper with general characteristics of people at the Chili Supper, i.e. Find someone with a blue shirt on.  The person found must sign the sheet of paper.  The Parent/Child team must find as many people as possible as quick as possible.  The first team to complete the hunt wins.

Silent Auction

The classes will decorate pumpkins with a theme of their choice.  They will be lined up on tables in the hallway outside the cafeteria.  Bidding will take place during the entire evening and end at 7:30pm.

  •  Preparations will begin as soon as school lets out.  Volunteers will be asked to show up at 5:00pm to help set-up and stay after for clean-up.
  • All Chili Supper leftovers are donated and taken to the Victory Mission by Mr. Suits.

Book Fair

Volunteers are welcome to help with the Book Fair, but not needed.

 Parent/Teacher Conferences

Parent/Teacher Conferences are on October 27th and 29th at 4:00pm.  Dinner is provided to the teachers on these nights. The school funds dinner for one night and the PTO funds the other.  The PTO provides the desserts for both nights.  Jeanne Kobler is in charge of recruiting volunteers to either make or buy a dessert for these evenings.  Volunteers are asked to bring the dessert to the school the day of the meeting it will be needed for.  An estimated 30-50 servings of food will be needed per night. 

 With no other business to be discussed the meeting was adjourned at 7:00pm.

 Introductions: 

  • Everyone at the meeting introduced themselves. 

Topics discussed:

  • PTO Officer Responsibilities were stated and discussed by Yvonne Galloway. 
  • Opened nominations for all PTO Officer positions.  All votes were unanimous.

  • It was decided to split the duties of the Treasurer with those of a Fundraiser Coordinator. 
  • We will be holding the next PTO meeting in the Elementary Library at 6:00pm.  Officers will meet 15min prior to outline meetings agenda.  All at meeting agreed. 
  • Chili Supper date and time picked for October 16, 2009 from 6:00-8:00pm. 
  • The 4th grade field trip to Jefferson City on Sept. 22nd was brought up for discussion.  The option to rent charter buses for the event was proposed.  A local company stated they wish to match an undisclosed amount towards the rental.  It has been determined that PTO cannot afford to help fund the project presently due to time frame and budget.
